Staff Aide - Victory Wellness Center


Under direction of the Program Manager and the Program Coordinator, the Staff Aide provides front office, reception, and clerical/administrative support to the Peer Case Manager, Nurse Practitioner (NP), and the Psychiatric Consultant in order to ensure smooth running of the Victory Wellness Adjunctive Services Program. The VWC Adjunctive Services program is a “recovery–based” program providing Rehabilitative and Medication Support Services to 250 consumers.

Greets consumers/visitors, completes sign in/out process, and notifies Peer Case Manager and NP of appointment arrivals. Provides telephone coverage at the front reception office. Answers calls in a courteous and professional manner. Additionally, provides telephone reception coverage during periods of short staffing (e.g., vacation-provides coverage during “breaks” and meal periods).
Handles faxing of prescriptions so that consumers are able to receive medications as soon as visit is complete, as needed.
Completes PFI’s and updates them on an annual basis. Scans document into BEHRI system.
Confirms and re-schedules appointments/reminders via telephone contact for both NP and Peer Case Manager visits.
Assists in compiling, filing, and organizing charts for both new admissions and consumer visits. Coordinates flow of paperwork and requests for records with Medical Records personnel (e.g., POS, memberships applications, episode screens, etc.).
Assists in completing referrals (e.g., obtaining paperwork from the requesting party regarding new intakes) as requested by Peer Case Manager.
Attends VWC Adjunctive Services weekly staff meeting and records minutes.
Maintains monthly tracking tools and other administrative reports (e.g., Client Log, Monthly Alert, and Orientation Application Log, etc.).
Attends in-service training as assigned and appropriate.
Assists with “chart review”.
Coordinate with Purchasing Department when ordering supplies.
Other duties as assigned by the Program Manager and Program Coordinator.
Must act in accordance with all Health Insurance Portability and Accountability Act (HIPAA) of 1996 and related state law confidentiality requirements. Must successfully complete the Center’s HIPAA training, pass the HIPAA test, and receive the Certification of Compliance.
Regular attendance is an essential function of the job.
Interacting with other employees at work is an essential function of the job.
Arriving at work on time and not leaving early is an essential function of the job.
Must have reception/front office experience (minimum of six months). Prefer Peer Counseling Certificate obtained from an approved Peer Counselor Training course.
At least one (1) year of experience in social service, either volunteer or paid. Either education, experience, or a combination, may be used to meet minimum requirements.
