Staff Assistant I - Bullying Advocacy - PART TIME

Duties: 
Assists the Program Manager of the Bullying & School Violence Advocacy Program (BSVAP) in the implementation and daily operations of the BSVAP front office, and maintain responsibilities for answering phones, data collection, and maintenance of program recipient records, along with duties in other programs (Staff Assistant I is 0.5 FTE in this program).
 
DUTIES AND RESPONSIBILITIES:
 
Collects data and compiles outcomes/evaluation data in collaboration with the Program Manager.
 
Responsible for the administrative portions of all new staff and volunteer orientations and coordinating this training with the Program Manager.
 
Monitors organization and flow of all BSVAP recipient records, and reports issues and updates to the Program Manager.
 
Maintains confidentiality and protects client records and quality assurance information.
 
Sets up, maintains, and modifies, as needed, office systems and service recipient charts, in collaboration with the Program Manager. Additionally, is responsible for ordering all office supplies for the BSVAP office.
 
Coordinates and facilitates typing requests.
 
Organizes and maintains program sites resource materials.
 
Performs special projects as requested.
 
Provides reception duties by politely and professionally answering the phones, and greeting all clients and guests to the office.
 
All other duties as needed and as assigned by the Program Manager.
Qualifications: 
Must act in accordance with all Health Insurance Portability and Accountability Act (HIPAA) of 1996 and related state law confidentiality requirements. Must successfully complete the Center’s HIPAA training, pass the HIPAA test, and receive the Certification of Compliance.
 
Regular attendance is an essential function of the job.
 
Interacting with other employees courteously at work is an essential function of the job.
 
Arriving at work on time and not leaving early is an essential function of the job.
High School education or equivalent, with two (2) years of college preferred.
 
Two (2) years of secretarial and office management experience required.
 
Demonstrated proficiency in math, billing, and computing and monitoring report data preferred.
 
Type minimum of 55 words per minute. Computer skills, including Windows 95 and 98, Word, and Excel expertise are important for the functions performed in this position.
 
Valid California Driver’s License is required. Must meet guidelines of agency’s driving criteria (i.e. Proof of liability insurance, minimal moving violations, driving record free of DUI’s or reckless driving in the last 3 years, etc.), and maintain the criteria as per company policy at all times.
